We advise you to frequently create backups, Losing data is your own responsibility.

The data is located in the following Mill7 folders: Comp (Including all subfolders) and Data. To restore the Data of a single administration you will need to copy the right administration folder (Sub-folder) back into the comp folder of Mill7.

This could have happened because of a technical reason (For example a power outage) or because of a wrong configuration.
To check if the totals match the following function can be used: In the supervisor menu first navigate to bookand then choose the function Recalculate bookkeeping totals. Mill7 will check all totals, If it matches the message Totals OK will appear and you can close the screen.
If the Totals do not match then press the button Recalculate totals. If the inconsistence still remains then there may be an invalid account filled in for the first P/L account in the settings.

Note that Mill7 will continue to work with this message.

Regardless of which Mill7 modules are in use, at the beginning of each year a new book year must be created. In menu Bookkeeping, Creating a new bookkeeping, different bookkeepings can be created. Select option 3:  New Book year.

When working with the Trust-version of Mill7, the following two options can be selected when creating a new bookkeeping:

  1. Client/consolidation bookkeeping
  2. All service companies

If option two is selected, all bookkeepings concerning service companies will be prolonged.

When the trust version is not available, this question will not be asked. During the prolongation of a bookkeeping, a copy of the actual directory is created (e.g. B0000103 will be B0000104). The old bookkeeping remains unaffected, creations are made in the new bookkeeping.

Clean up data
In the new bookkeeping certain files will be cleant up in the new year. For example relation management changes, journal entries, time, etc. By cleaning up, files will be smaller which concludes that reports remain fast. After cleaning up, debtors, creditors and general ledger accounts can be deleted if related time, journal entries and invoices are missing.

Journal entries
At prolongation balances of the old book year will be transferred to daybook Opening balance of the new book year. It is no problem to make changes in the old book year after prolongation. By using the function ‘Copy opening balance’ the opening balance for the new book year can be re-created.

Assets
At prolongation the book value off all assets in the new book year will be set on the end date of the previous book year. The value of the assets in the previous book year will not change. This means that if assets have not been written down in the previous book year, those write downs can still be made.
If the assets are written down until the end of the year afterwards and differ from the book value calculated before, the real book value of the opening book year can be recalculated by using the option Copy book value assets of previous book year in menu Bookkeeping -> Financial -> Assets.

Time
At prolongation, only time that meets the following conditions will be transferred:

  • Time with status “Y” or “L”
  • Time with a date in the new book year

Extra attention for the following two situations.

1. Time not to be invoiced
Per debtor you are able to set if the time written the concerning debtor must be invoiced. If set that time must not be invoiced, time will not be prolonged to the new book year, regardless of the invoice status.

2. Approve time and internal report about the month December.
Because all time to be invoiced will be transferred to the new book year at prolongation,  it is no problem that time for example December 2003, is written in the old book year and partially in the new book year 2004.
This is different for approving time and internal report of time registration of the concerning book year.
Time with status ‘N’ will not be transferred to the new book year. If, at prolongation, time registration is not up to date at the end of the year (e.g. 31-12-2003), no correct reports can be made of the concerning book year. After prolongation it is impossible to write time in an old book year.

Invoices

At prolongation only invoices which meet at the following conditions will be transferred:

  • Proforma invoices
  • Booked invoices which are not paid totally.

After prolongation, no time invoices can be created in the old book year. However invoices made manually and credit invoices can still be made.  Such created outstanding invoices can be transferred by using the function ‘Copy opening balance’. The invoices itself will not be transferred to the new book year.

Portfolio
At prolongation portfolio transactions will be created in daybook Opening Balance.
The value of the different stock is based on the latest market price (revaluation). The transaction receives the status booked.
Changes can still be made afterwards in the previous book year.
By using the option Create transactions opening balance last year in the menu Administration, submenu Portfolio the opening balance of Portfolio will be cleared and created on using the information in the previous book year. However profits can be shifted by doing this because of the FIFO method.

By using the option Recalc Portfolio from the menu Supervisor, submenu Portfolio the complete portfolio administration can be recalculated.

After recalculation it is advised, when using the bookkeeping module as well, to check for differences between the Portfolio administration and the results in the bookkeeping .

Synchronization
If the synchronization module is used, synchronization must be done before prolongation. After prolongation, the book year of location.cfg (in the data-directory of both locations) must be adjusted.

Rights
Finally the bookkeeping rights of the new bookkeeping must be assigned and be deprived in the old book year, just to avoid using the old bookkeeping.

The trust version has functionality to book invoices for the upcoming bookyear before this bookyear is created.

In some cases creating the next bookyear is not possible, because for instance the time administration is not up to date yet.
The new year has already started and it is desired to create the invoices for the new bookyear, but they also have to be booked in the new bookyear.
This is possible by setting the option Settings – Book – Trust -> “Book invoices in upcoming bookyear”
If this option is active, the journals of invoices with a date after the ending of the bookyear will be booked in a temporary file.

When a new bookyear is created, the journals will automatically be booked in the new bookyear. The invoice numbers for these invoices can be entered in menu Maintenance -> Financial -> Service companies. When no number is entered for a bookkeeping, the number in the settings for the current bookyear will be used.
Every invoice for the coming bookyear will increment this number by one. By creating a new bookyear, this number will automatically be set in the settings of that bookyear as last used invoice number. This can also be used to easily set all starting numbers for invoices for next year. Do this before prolongation.

Be careful:

  • When this option is set, invoices with a date in the coming year will be booked according to previous description without warning.
  • All invoices, also containing time or disbursements will be booked according to this.
  • When a new bookyear is created, this functionality can not be used anymore in the previous bookyear.

We recommend to not install Mill7 in the Program files folder when using Windows Vista or Windows 7. These operationg systems do not permit that data is being written to the folder Program files. In this case Windows does not save the data to the folder Program FilesMill7 but in the folder: C:Users%username%AppDataLocalVirtualStoreProgram FilesMill7.

It is advised to copy Mill7 to ‘c:Mill7’ and copy the folders ‘Comp’ and ‘Data’ that can be found in the path above to the folder ‘c:mill7’ so the folder will be overwritten. Leave the original files in the Progam Files and in c:Usersetc in place as sort of backup until you are sure that the new installation is succesfull and contains all data. Next start Mill7 from ‘c:Mill7Mill7.exe’.

To make sure that Mill7 runs properly with Microsoft Excel and Micorsoft Word certain DLL’s need to be registered. Run the registration from the Mill7Prog12 folder with the following command:
regsvr32.exe .Rnwdc50.dll
regsvr32.exe .Rnxlc50.dll
regsvr32.exe .ExportModeller.dl
regsvr32.exe .Crtslv.dll

Yes, Mill7 will work on a fileserver or a terminalserver, but in case of windows server 2008 (or higher) we advise you to disable Opportunistic Locking on the Windows Server where the Mill7 data exists to prevent data corruption.
On the Server you must change 2 registry settings, these are listed in the Mill7 help topic Installation (Paths and network installation).

Or readftp://ftp.dataaccess.com/pub/misc/whitepapers/opportunlockingreadcaching.html

  1. In case the file that needs to be read cannot be found, and if the received mt940 file has no .sta extension, try to set the filter to “all files”.
  2. The bankaccount must be assigned to the corresponding Journal
  3. Only mutations from the same year as the administration are being read (switch to the right administration).

This issue will be solved as soon as Office 2000 is updated. This update (from release 1A) is available for free and can be downloaded on the Microsoft website.

As an alternative: At regional settings of your PC change the decimal symbol to dot (.), change the digit grouping symbol to a comma (,) and the list seperator to a comma (,).

This can be solved by changing the language In the regional settings of your PC equal to the language of the Windows installation. So if you have a English MS-Windows version, also set the language at regional settings to English.

In case you can save records normally, but you cannot find them at the moment there could be a problem in the database.
This could have happened because Mill7 was not closed properly (usually because of a power outage).

You can solve this problem by using the Re-index function that can be found in the supervisor menu.

Users that are in possession of a software contract are able to expand Mill7 with extra functions and modules.
For example Invoicing, Time, Relation management, the Pro version or the multi-user version. The different upgrades that are available depends on the version.

Version 7.4.C2 or higher

Users that are in possession of the trust version are able to change the amount of user licenses. This only works for modules that already have a minimum of 1 user license and the amount can only be raised.

With the free Basic version you are not able to run updates. To install updates you first need to sign up for a support contract.

You will need to copy the whole Mill7 folder (including the subfolders) to the new computer. For this you can use a network connection, a CD, a DVD or a USB Stick.
In order to run Mill7 after the copy you will need to create a shortcut on the new computer that directs to Mill7.exe in the Mill7 folder.
The first time that Mill7 is started you will have to confirm some questions, after that Mill7 is ready to be used again.

  • Warning 1: If you copy something back from a CD or DVD then the permission of the new folder is set to read only. You will need to use the explorer to change the permission to read and write.
  • Warning 2: It is not advised to download Mill7 again, because then the data has not been moved yet.

In case you are not able to move the Mill7 folder yourself you can always sign up for a support contract so we can help you with this.
